We are looking for an energetic and highly organised Office & Operations Manager to become a key part of our day-to-day business.

This is not a traditional office management position. You will work closely with our Founder and COO, help keep the company organised behind the scenes and make sure that both the team and our customers receive the support they need.

You will be at the centre of the organisation: bringing structure, solving problems and helping the business move forward.

The Role

As our Office & Operations Manager, you will support different areas of the company. Your responsibilities will range from administration and customer care to team coordination and HR support.

No two days will be exactly the same. One moment you may be helping the Founder prepare for an important meeting, and the next you may be solving a customer issue, updating internal documents or supporting the COO with operational priorities.

You understand what needs to happen, take ownership and do not wait to be told every next step.

Your Responsibilities

Founder and COO Support

• Providing day-to-day support to the Founder and COO
• Helping manage priorities, deadlines and follow-ups
• Preparing documents, meetings and internal communication
• Coordinating appointments and supporting travel planning when necessary
• Keeping track of important actions and making sure nothing gets overlooked
• Acting as a trusted and proactive point of contact within the organisation

Office and Administration

• Managing general administration and company documentation
• Keeping internal systems, files and processes organised and up to date
• Processing and coordinating invoices, contracts and other administrative matters
• Supporting communication with external partners, suppliers and service providers
• Helping create structure as the company continues to grow
• Supporting the smooth day-to-day operations of the Amsterdam office

Customer Care

• Supporting customers through email, social media and other communication channels
• Helping with questions regarding orders, deliveries, returns and exchanges
• Following up on customer cases and making sure issues are resolved properly
• Identifying recurring customer questions and helping improve internal processes
• Representing the brand through clear, friendly and professional communication

HR and Team Support

• Supporting the onboarding and offboarding of team members
• Helping maintain employee and freelance documentation
• Assisting with recruitment processes and job postings
• Supporting the Founder and COO with general HR and personnel matters
• Thinking proactively about team processes, company culture and internal organisation
• Helping connect our international teams in Amsterdam and Paris

Who You Are

You are sharp, hands-on and naturally organised. You enjoy working in a fast-paced environment and feel comfortable taking responsibility.

You are someone who sees what needs to be done and takes action. You can switch easily between details and the bigger picture, and you remain calm when several priorities come together at once.

You do not have a strict nine-to-five mentality. You understand that working for a fast-growing fashion brand sometimes requires flexibility, urgency and extra ownership.

You are:

• Comfortable supporting senior leadership
• Discreet and trustworthy when handling confidential information
• Able to prioritise and work under pressure
• Interested in fashion, e-commerce and international business
• Fluent in English; Dutch is a strong advantage
• Based in or near Amsterdam

Experience in office management, executive assistance, operations, customer care, HR or e-commerce is preferred. However, your mindset, energy and ability to learn quickly are equally important.

Location and Flexibility

We are looking for someone who is based in Amsterdam and can regularly be present at our Amsterdam location.

A hybrid or partly remote structure can be discussed. Depending on your experience and availability, it may also be possible to operate mainly from your own location, provided you can stay closely connected to the team and be available when your presence is required.
